Job Description

* Administrative work:
- Taking care of general office reception and main phone lines. Manage all incoming and outgoing mail, online database to maintain specific activity records;
-Manage lease contracts, relocation, renovation, and liaise with the building management company;
-Manage office inventory, equipment, and office supplies.
-Assist the meeting host(s) in handling meeting room setup, order taking, distribution, setup, and coordination with Cleaner to ensure the room is cleaned before and after the meeting;
Handle other requests when necessary;
-Support related work - Draft and check contract content: payment terms, delivery, warranty.
-Monitor and renew sales contracts and fixed rental services of the Company
-Make monthly fixed cost payments.
-Participate in developing regulations, processes and instructions related to asset management.
-Receive, process and control requests for allocation/recovery/transfer/repair of assets: ensure requests are correct and appropriate, saving costs for the company.
-Manage 3rd party service providers related to office issues, track and pay 3rd parties promptly.
-Perform other tasks requested by the Manager
* Asset/Equipment Management:
-Update asset list according to actual situation.
-Perform asset inventory at apartments, compare and contrast and report periodically (every 6 months).
-Monitor the company's equipment and assets, have a plan to maintain fixed machinery monthly and quarterly, and have a plan to purchase additional equipment to ensure the best performance.
**Job requirements :
- Graduated from University of Business Administration and Law. Administrative management or related major.
- Understand administrative processes and rules in managing business documents.
- Proficient in office IT tools such as Word, Excel,...
- Good organizational skills.
- Problem-solving skills.
- Skills to capture and process information quickly and accurately.
- Good communication skills (both verbal and written).
- Careful, meticulous and passionate about work.
- English communication is good or better.
