Job Description

- Welcoming and guiding guests to contact and work at the company
- Receive incoming and outgoing dispatches, letters, documents... and then transfer them to relevant departments
- Monitor the situation of employees coming late and leaving early in the Hanoi office
- Organize and support company receptions
- Express delivery of documents and records for departments
- In charge of performing periodic inventory and monitoring of assets in Hanoi office and factory
- Make a tracking book on asset codes, tools, tools at the office and factory
- Control housekeeping, office cleaning and cleaning results
- Monitor the arrangement and decoration of rooms to ensure an aesthetic and professional image for the company
Get the number of incoming/outgoing documents + incoming documents: Outgoing dispatch, notice, decision, report...., incoming dispatch
- Manage, store and track important documents of the Company (Business registration papers of companies, licenses... and personal papers of the Board of Directors) and service contracts with partners
- Carry out the management and preservation of seals and seal documents of the units
- Make a monitoring book and report on stamping work
- Receive, classify, arrange, process information, documents and documents of departments and check documents submitted for signing by the Board of Directors + return documents to be signed for units
- Organize and arrange, announce, postpone and cancel internal meetings, act as meeting secretary, draft and store meeting minutes
- Follow up the weekly work schedule of the department
- Manage administrative paperwork, issue standard and unified forms, such as applications for leave, leave, overtime and issue when needed
- Summarize payment for drinking water, stationery, telephone (mobile and fixed), internet and other administrative expenses incurred in each period
- Make proposals for arising work contents such as uniforms, medical, air tickets,
- Manage and distribute uniforms to employees according to regulations
- Synthesize reports by department, information content by department
- Manage the issuance, withdrawal of employee cards, registration of bus ticket procedures for the company's employees
- Do logistics work to prepare for company events (birthday, travel, year-end, festival...)
- Building and maintaining the company's culture: Organizing sick visits, filial piety, giving birth, etc. Allocating trade union expenses for the contents of the union members' regime and organizing the implementation.
- Perform the work of supporting the work of the members in the department when requested by the head of the department
- Perform arising tasks under the direction of the City, BGD
- Prepare for new employees to come to work (VPP, Working position, computer, name plate, motorbike card, introductory email ...)
- Management of drinking water, stationery
- Check employees who leave and invite them out of the group
